Adding Service Transactions to ShelterPoint Stayers

To add service transactions to clients who are checked in through ShelterPoint, navigate to your unit list and click on the client name. If there are multiple household members, then click on the head of household’s name.

Once the Unit Stay Entry Data dialog box has opened, click on the Service Transactions tab and then the Services tab. To create a new service transaction, click Add Service.

You may see a warning box pop-up at this point. It is just warning you that you are about to navigate to the Service Transactions section of ClientPoint. Click Ok.

 

You are now in ClientPoint, on the Service Transactions tab. If there are additional household members also receiving the service, remember to check their boxes and include them with the primary client.

 

Change the Service Provider to the name of your provider (e.g. OMC – Provider SHELTERPOINT test (1234)) and select a Start Date, End Date, and Service Type.

·       Start Date and End Date will depend on your Service Type. Services can be for a single day, such as food or case management, but others like rent payment assistance should be dated to cover the entire month that you paid rent for.

o   Remember that the start date must come after the entry. If the entry and transaction occur on the same day, the time of the transaction needs to come after the time of the entry.

·       The options that appear in the dropdown for Service Type can be modified if you contact your CoC HMIS Lead or OHCS. You can also use the Look Up button to search for other services that do not appear in your dropdown. Some funders limit what services are eligible, so please verify with your administrators that the service is appropriate if you are not using a service from the dropdown.

·       Provider Specific Service is only recorded for specific instances. If there is nothing in the dropdown, then your provider has not been set-up to use this field.

 

The next screen allows you to provide more detail on the service. You can add Service Notes as well as fill out Service Costs information (if required).
